Privacy Policy

This Privacy Policy explains how Dugout Ready collects, uses, shares, and protects information when you use the Dugout Ready website, application, and related services (the “Service”).

1. Who the Service is for

Dugout Ready is designed for adult coaches, team organizers, and parents or guardians. It is not directed to children under 13, and children under 13 may not create accounts. Adults should enter only the player information needed to manage a team and create lineups.

2. Information we collect

Account information

We collect information you provide when creating or managing an account, such as your name, email address, password credential, verification status, preferences, and subscription or entitlement status. Passwords are stored as one-way password hashes, not as readable passwords.

Team and lineup information

We collect information you enter about teams, rosters, player names, positions, eligibility, game dates, lineup rules, saved lineups, game history, and related coaching notes. This may include information about minors that an adult account holder chooses to enter.

Communications and feature use

We may collect support requests, feature suggestions, AI prompts and outputs, and records needed to provide account verification, password reset, billing, or administrative functions.

Technical and security information

We may process IP address, browser and device information, request timestamps, session identifiers, rate-limit events, and security or audit records needed to operate and protect the Service.

3. How we use information

• Provide account access, team management, lineup generation, history, and related features.
• Verify email addresses, reset passwords, respond to support, and send service communications.
• Process subscriptions and maintain account entitlements when paid features are enabled.
• Provide AI-assisted features when those features are enabled.
• Prevent abuse, enforce limits, troubleshoot errors, secure accounts, and improve the Service.
• Comply with legal obligations and protect the rights and safety of users and the Service.

4. Service providers and disclosures

We do not sell personal information. We may share information with service providers only as needed to operate the Service. Depending on which features are enabled, these providers may include Cloudflare for hosting, databases, security, and delivery; Resend for transactional email; Stripe for payment processing; and Google Gemini for AI-assisted features. Their processing is subject to their own terms and privacy practices.

We may also disclose information when required by law, to protect users or the Service, in connection with a business transfer, or with your direction or consent.

5. AI features

If you use an AI-assisted feature, the prompt and relevant context may be sent to the configured AI provider to produce a response. Do not include sensitive personal information in an AI prompt. AI output may be inaccurate and should be reviewed by an adult coach before use.

6. Data retention and deletion

We retain information while an account is active and as reasonably needed to provide the Service, maintain security and audit records, meet legal obligations, resolve disputes, and enforce agreements. You may use available account-deletion controls or contact us to request account deletion. Some limited records may remain where legally required or reasonably necessary for fraud prevention, security, backups, or transaction records.

7. Security

We use administrative, technical, and organizational safeguards designed to protect information. No system is completely secure, so we cannot guarantee absolute security. Keep your account credentials confidential and contact us if you believe an account has been compromised.

You may update certain account and team information in the Service. You may request access, correction, or deletion by contacting us. Privacy rights vary by location, and we will respond as required by applicable law after verifying the request.

We may update this Privacy Policy as the Service changes. We will post the revised policy with a new effective date and provide additional notice when required.
